When a new client submits their details (via form → Google Sheet), the workflow immediately captures key information (name, company, email, services needed, additional notes), combines it with a structured onboarding checklist, feeds everything to Google Gemini to generate a custom, friendly welcome email, and sends it directly from your Gmail account. It includes built-in error handling to ensure reliability. The result is consistent, high-quality onboarding communication at scale — saving hours of manual email writing while making every new client feel valued and informed from day one.
How it works:
The workflow activates automatically the moment a new row is added to your Google Sheet :
Trigger on New Client Form Submission — Google Sheets Trigger watches for new rows (poll every minute).
Extract and Structure Client Data — Pulls and cleanly renames fields.
Client Checklist — Inserts a default onboarding checklist.
Personalize Using Gemini — Sends all client data + checklist to Google Gemini with precise instructions → Gemini generates only the email body text (starting with “Hi [Name],” and ending with “Best regards, Your [Company] Team”). The prompt ensures no extra commentary — just clean, ready-to-send content.
Send Email to Client — Uses Gmail to send the AI-generated message with subject “Welcome to Our Service, [Client Name]” directly to the client’s inbox.
